By booking and/or attending one of our events, you (“you”, “your”, “guest”, or “attendee”) agree to these Terms & Conditions.

1. Event Bookings

All bookings are subject to availability and confirmation by Lupton Flower Farm.

Your booking is secured once full payment has been received, unless otherwise agreed in writing.

Event descriptions, schedules, timings, activities and speakers are correct at the time of publication but may be subject to reasonable changes where necessary.

2. Prices and Payment

Event fees must be paid in full before the event date.

We reserve the right to refuse entry if payment has not been received in full.

3. Cancellations and Refunds (By You)

If you need to cancel your booking, the following refund policy applies:

  • 100% refund if cancellation is made four (4) weeks or more before the event date.
  • 50% refund if cancellation is made between two (2) and four (4) weeks before the event date.
  • No refund will be given for cancellations made less than two (2) weeks before the event date.

All cancellation requests must be made in writing by email.

If you are unable to attend, you may request to transfer your booking to another person. This is subject to our prior approval and any relevant event requirements.

4. Non-Attendance

If you do not attend the event, or leave before it has finished, no refund will be given.

This includes absence due to illness, travel disruption, adverse weather, personal circumstances or any other reason outside our control.

5. Cancellation or Changes by Lupton Flower Farm

We reserve the right to cancel, postpone or make reasonable changes to an event where necessary. This may be due to circumstances including, but not limited to:

  • Insufficient bookings
  • Severe weather
  • Illness or unavailability of a host, facilitator or guest speaker
  • Circumstances beyond our reasonable control

If we cancel an event, you will be offered either:

  • A full refund of the amount paid; or
  • A transfer to a future event where available.

Our liability is limited to the value of your booking. We cannot reimburse travel, accommodation or any other associated costs.

6. Behaviour and Respect

We aim to create a welcoming, inclusive and relaxing environment for everyone.

Guests are expected to behave respectfully towards fellow attendees, facilitators, staff and the venue.

We reserve the right to ask any attendee to leave an event if their behaviour is disruptive, abusive, unsafe or inappropriate. In these circumstances, no refund will be provided.

7. Health and Safety

Guests must follow any health and safety guidance provided during the event.

Many of our events take place outdoors or involve walking across farmland, gardens or uneven ground. Appropriate clothing and sturdy footwear are recommended.

You participate in activities at your own risk and should inform us before the event of any medical conditions, allergies or accessibility requirements that may affect your participation.

We reserve the right to refuse participation in any activity where we believe it may present a risk to your health or the safety of others.

8. Photography

From time to time we may take photographs or videos during our events for use on our website, social media and promotional materials.

If you would prefer not to appear in photographs or videos, please let a member of our team know when you arrive and we will respect your wishes wherever reasonably possible.

9. Data Protection

Lupton Flower Farm complies with the UK General Data Protection Regulation (UK GDPR) and applicable data protection legislation.

We collect personal information only as necessary to:

  • Process your booking
  • Communicate with you about your event
  • Meet our legal and business obligations

Your information will never be sold and will only be shared where required by law or with trusted service providers acting on our behalf.

For more information, please refer to our Privacy Policy.

10. Liability

While we take every reasonable care to provide a safe and enjoyable experience, attendance at our events is at your own risk.

Lupton Flower Farm accepts no responsibility for loss, theft or damage to personal belongings.

Nothing in these Terms & Conditions excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any liability that cannot legally be excluded.

11. Force Majeure

We shall not be liable for any failure or delay in delivering an event where this is caused by circumstances beyond our reasonable control, including but not limited to extreme weather, flooding, fire, government restrictions, utility failures or illness.

12. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes arising from these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.

I would also recommend adding a few clauses specific to an event venue like Lupton Flower Farm, such as children and family attendance, dogs (if permitted), accessibility, parking, and weather-related arrangements for outdoor events. These additions can help answer common customer questions and reduce disputes.
